This data belongs to and is controlled by the client business we're serving — Claws Media acts as a service provider processing it for the purpose of delivering the automation.
For clients in healthcare, dental, medical spa, or other regulated industries, we're able to configure our AI receptionist and automation systems to operate in a HIPAA-compliant manner, including signed Business Associate Agreements (BAAs) where applicable, restricted data handling, and secure storage of protected health information (PHI). If HIPAA compliance is required for your business, let us know and we'll configure your setup accordingly.
If you are a caller or texter interacting with an AI receptionist deployed by one of our clients, your call or message may be recorded, transcribed, and processed by our voice AI and automation infrastructure (which may include platforms such as Vapi, Retell, and n8n) and related telephony providers as part of delivering that service. The service terms that govern every AI receptionist, missed-call text-back, and automation package deployed by Claws Media. These are the same terms every client acknowledges and signs during onboarding.
These Terms of Service ("Terms") govern the AI voice receptionist, missed-call text-back, and automation services (the "Services") provided by Claws Media ("we," "us," "our"), operated out of Halifax, Nova Scotia, Canada, to any business that signs up for or uses the Services ("you," "Client"). By submitting our onboarding form, checking the acceptance boxes on that form, using our Services, or checking the box during checkout, you agree to be bound by these Terms. If you do not agree, please do not submit the onboarding form or use the Services.
The Services consist of the deployment of an AI receptionist template configured strictly according to the details, website URL, and calendar link you provide in the onboarding form. Any custom feature requests, manual workflow modifications, or extra software integrations outside of this standard scope are subject to an additional development fee, to be quoted and agreed upon separately before work begins.
Your base subscription includes ongoing maintenance of your AI template. Support for changes beyond routine maintenance is tiered according to your plan:
Any custom feature requests, manual workflow modifications, or integrations beyond these hours are classified as "Custom Development" and are billed at $50/hr, subject to a separate quote and your approval before work begins.
The AI receptionist is trained automatically using your live website data. It is your responsibility to ensure your website content and calendar configurations remain accurate, clear, and up to date. Claws Media is not responsible for inaccurate information relayed by the AI that stems from outdated or incorrect source data on your website or booking system.
Your monthly subscription covers standard voice automation minutes based on your selected tier. Any voice traffic exceeding your monthly limit is billed automatically at the specified overage rate for your tier (typically $0.20–$0.30 per minute). Overages are billed automatically and are not subject to prior approval.
The Services are provided on a month-to-month basis. You may cancel your subscription at any time. To be effective for the following billing cycle, notice of cancellation must be provided at least 7 days before your next billing date. No refunds or pro-rated balances are provided for partial months of service.
The Services utilize advanced Artificial Intelligence (AI) and Natural Language Processing (NLP) technologies. Due to the inherent nature of voice-to-text conversion, regional accents, background noise, and unpredictable human interactions, the AI agent may occasionally misinterpret caller intent or experience minor technical anomalies. Claws Media performs proactive monitoring and ongoing prompt optimization during the first thirty (30) days of deployment.
In no event shall Claws Media be liable for any indirect, consequential, or punitive damages — including lost revenue, profits, or missed business opportunities — arising out of conversational errors or technical downtime. Claws Media's maximum liability under these Terms shall not exceed the total fees paid by the Client in the one (1) month preceding the event.
By checking the acceptance boxes on our onboarding form or checkout page and typing your name as an electronic signature, you certify that you have read, understood, and agreed to these Terms, and you authorize Claws Media to set up the AI Automation according to the data you provided.
These Terms are governed by the laws of the Province of Nova Scotia and the federal laws of Canada applicable therein, without regard to conflict-of-law principles.
We may update these Terms from time to time to reflect changes in our services or for legal reasons. We'll update the "Last updated" date at the top of this page when we do. Continued use of our Services after changes are posted means you accept the updated Terms. Material changes affecting active clients will be communicated by email.
